Registration and Publication
All presenting authors must register for the meeting. If you are unable to attend the full meeting, you may register only for the day on which you are presenting your poster(s). Please note that poster authors do not receive a discount on meeting registration.
If you requested your abstract to be published in the NCS journal, Neurocritical Care, one author per poster must register for the conference. If an author is not registered by July 31, your abstract will be removed from the journal.
Speakers are responsible for arranging their own travel and expenses.
Reminders
- The selected abstract presenter will be the primary contact.
- The presenter/primary contact will be the ONLY contributor contacted about the submission.
- All authors entered will have access to the abstract, but only the presenting author should make changes to the submission to avoid confusion.
- All other contributors should receive updates from the presenter/primary contact.
- Presenters should prepare to present at both dates and times in person in the poster hall.
- Presenting authors will hang a physical poster in the Poster Hall and stand by their posters during the designated poster hall times listed above to converse with attendees and answer any questions.
- If you cannot attend in person to present during the poster hall times listed above, your PDF poster will be displayed in the virtual app.
- If you permitted NCS to publish your abstract in the online supplement of the Neurocritical Care journal, your abstract will still be published. There is no virtual option actually to present your poster.
- Posters left in the poster hall will be brought to the registration desk. Any unclaimed posters will be discarded by Thursday, October 17, at 11:00 a.m. PST.
Poster Specifications
- You will only need to print a physical copy of your poster for the in-person meeting.
- Please upload your final poster in PDF format to the speaker portal by Monday, October 7.
- There may be multiple authors for the poster, but only one PDF poster needs to be uploaded. Please ensure the author who submitted your abstract completes the upload.
- We will not accept PowerPoint versions of your poster–you must upload a PDF version in the speaker portal. The PDFs will be uploaded for attendees to view in the mobile app.
- Your printed poster should not exceed 90” width x 42” height and can be any material or fabric—we recommend printing on a cloth to transport the poster in your luggage easily.
- You may use any standard scientific poster template to create your poster or use the NCS PowerPoint Template and export as a PDF.

Working with Images
- Most images will be about 8" x 10" when your poster is printed full-size. No image should be smaller than 5" x 7". Most printing glitches are the result of incorrect image files.
- Use .tiff, .jpg or .png images. Do not use PICT or EPS.
- You should have a folder with photos of your project or images you’ve found from other sources. Crisp, sharp images are crucial. (Warning: most online images aren't suitable in quality for a large poster.)
- Images should be ~300 dpi (dots per inch). Anything less will appear fuzzy; anything larger will make the file size unwieldy.
Graphs, Charts and Tables
- While creating graphs and charts directly within PowerPoint is possible, the process is restrictive and quirky. Use Excel to create graphs and charts.
- While it is possible to simply highlight the graph in your spreadsheet and copy and paste it into your poster, the process is rife with hazards.
- Convert your graph into an image file (a “.png” file) first, then insert the .png file into the poster. This is a secure way to put images in your poster.
- Here’s why: If you insert a graph by the “cut-and-paste” or “Insert Object” route, the graph will still be live. This means it is still linked to the Excel workbook. If you break that link, by trying to print the poster, for example, it rebels.
How to make a .png file from an Excel graph:
- Open Excel and enlarge your graph until it fills the entire screen (10-15 columns wide). If you have multiple graphs in your workbook, enlarge all of them.
- Choose "Save as Web Page." (Trust this.) You should already have a dedicated folder for all poster images; save graph(s) into that folder.
- An .htm file will appear, along with a folder with every chart in the entire workbook saved as separate .png files. You won’t use the .htm file, but keep it.
- Rename each .png file so you know what it is.
- Now insert the .png file into your poster by “Insert → photo → picture from file.”
Do not use “Insert → Object → Microsoft Excel Graph.” While this seems like the logical choice, it leads directly back to inserting a live graph and all the problems of being linked to an Excel workbook. Don’t worry that you won’t be able to change your graph. You can always go back to your Excel workbook, change the graph and make a new .png file to insert.
Font Size
- Use easily read type. Suggested minimum font sizes:
- Title: 36-point type
- List of authors: 25-point type
- Body copy should be double-spaced text: 15-point type
- Choose your colors to provide strong contrast and avoid pairing red and green elements to assist those with red-green color blindness.
Printing
All presenters are responsible for printing their posters prior to their presentation.
On-site printing: If you require onsite printing, there is a FedEx Print & Ship office in the Manchester Grand Hyatt San Diego.

Financial Disclosures
Disclosures for all authors must be displayed clearly on your poster. It is the policy of the Neurocritical Care Society to ensure balance, independence, objectivity and scientific rigor in all its educational initiatives. It is required that any faculty (speaker) or planner who has influence over a program must disclose to the activity audience all personal finances over the previous 24 months with ineligible companies.
If you are selected for a platform presentation, your acceptance is contingent on your financial disclosure completion. All other accepted abstracts must display disclosures clearly on posters.
Distinguished Posters
Based on reviewer scores, the top 10% of posters will be selected to be part of Poster Distinguished Professor Rounds that will be held during poster hall hours on Tuesday, October 16.
You will be informed of whether your poster has been selected for this moderated poster presentation by the end of June 2024.
Based on reviewer scores, the top 5% of posters will be selected to participate in the award and platform winner platform.
Speaker Ready Room for Platform and Late-Breaking Abstracts
The Speaker Ready Room is a space for onsite speakers to test their PowerPoint, test video elements or practice. We recommend you visit this room once you arrive onsite. If you need to make a last-minute change to your presentation, please visit this room by 5:00 p.m. PST the day before your session.
