Annual Meeting Terms & Conditions
NCS reserves the right to change, amend, add or remove any of the Terms & Conditions at its sole discretion and without prior notice. If one or more of the conditions outlined in these Terms & Conditions should become invalid, the remaining will continue to be valid and apply. These Terms & Conditions apply to all event participants (attendees, speakers, sponsors and exhibitors).
The views expressed by any attendee, speaker, exhibitor or sponsor are not necessarily those of NCS. All attendees, speakers, exhibitors and sponsors are solely responsible for the content of all individual or corporate presentations, marketing collateral and/or advertising.
Code of Conduct
We are committed to creating a safe, productive and welcoming environment that is inclusive and free from discrimination, regardless of race, religion, color, national origin, sexual orientation, gender expression or identity, transgender status, age, disability, veteran or marital status or any other protected categories under applicable law.
All participants, including, but not limited to, attendees, speakers, volunteers, exhibitors, NCS staff members, service providers and all others must abide by the following policy:
Expected Behavior
- Be considerate of those around you.
- Be respectful of others and their viewpoints, which may be different from your own.
- Be collaborative with others.
- Be mindful of your words and actions.
Unacceptable behaviors may include, but are not limited to:
- Offensive or unwanted behavior or language including, but not limited to, race, religion, color, national origin, sexual orientation, gender expression or identity, transgender status, age, disability, veteran or marital status or any other similar categories.
- Visual harassment, such as sexual images OR sexual language, including in presentations and slide decks.
- Sexual harassment of any kind, such as unwelcome sexual advances or words/actions of a sexual nature.
- Wearing attire that includes harmful or offensive language or imagery that is not appropriate for a professional setting.
- Disruption of presentations during sessions or at other events organized by NCS.
- Copying or taking screenshots of Q&A or any chat room activity that takes place in the virtual environment.
- Abusive action directed at an individual, such as threats, intimidation, or bullying, both virtual and/or in-person.
- Sharing your NCS registration or making event content available to another person(s).
- Possession of a weapon or something that could be construed as a weapon both virtual and/or in-person.
- Possession or mention of illegal substances both virtual and/or in-person.
- Inappropriate comments or stalking of fellow attendees.
- Nudity is prohibited.
- Any other illegal activity not already covered above.
NCS has zero tolerance for any form of discrimination or harassment, including but not limited to sexual harassment by participants or our staff at our meetings. If you are the subject of, or witness to any violations, you can contact us by sending an email to registration@neurocriticalcare.org.
Cancellation by NCS
If for any reason beyond NCS' control, NCS determines that the 21st Annual Meeting must be canceled, shortened, delayed, dates changed, or otherwise altered or changed, the participant understands that any registration fees paid for the in-person event will be automatically transferred to the virtual experience. Participant also understands and agrees that NCS shall not refund the registration fees paid and that all losses and damages that participants may suffer as a consequence thereof are their responsibility and not that of NCS or its directors, officers, employees, agents or subcontractors. Participants understand that it may lose all monies it has paid to NCS for participation in the annual meeting, as well as other costs and expenses it has incurred, including travel, lodging, etc.
Cancellation by Individual
Because most NCS Annual Meeting sessions will be available for on-demand viewing, no refunds will be granted. Substitutions of registrants can be made by Friday, June 30, 2023, without a fee, by contacting the registration team at registration@neurocriticalcare.org. Please note: Any hotel reservations must be canceled separately and directly with the hotel.
If for any reason (including illness) you would like to change your attendance from in-person to virtual, or virtual to in-person your registration will be converted; additional fees will apply if switching from virtual to in-person. If the event shifts to a fully virtual event, all registrations will be converted to virtual attendee registration, and the cancellation policy will apply to any termination requests.
Internet Disclaimer
NCS will provide you virtual access to the NCS 21st Annual Meeting via the internet by use of your internet browser. You are solely responsible for obtaining and maintaining at your own expense, all equipment needed to access the NCS 21st Annual Meeting virtually, including but not limited to internet access and adequate bandwidth. USE OF OR CONNECTION TO THE INTERNET PROVIDES THE OPPORTUNITY FOR UNAUTHORIZED THIRD PARTIES TO CIRCUMVENT SECURITY PRECAUTIONS AND ILLEGALLY GAIN ACCESS TO THE EVENT AND CUSTOMER DATA. ACCORDINGLY, NCS CANNOT AND DOES NOT GUARANTEE THE PRIVACY, SECURITY OR AUTHENTICITY OF ANY INFORMATION TRANSMITTED OVER OR STORED IN ANY SYSTEM CONNECTED TO THE INTERNET.
Virtual Exhibit Booth
By entering an exhibit booth you are providing the exhibitor with your contact information and opting-in to receive communications from the exhibitor. You will be subject to their communications and privacy policy and must opt-out with them directly if you choose not to receive communications.
Liability Waiver & Release
In consideration of being allowed to register for, and participate in the NCS Annual Meeting, you hereby warrant and represent that you are age 18 or above and freely waive, release from liability, assume all risks, and covenant not to sue NCS or its members, employees, board members, agents, or volunteers for any expense, loss, damage, personal injury, including loss of life, illness, disability, property damage, or property theft or actions of any kind that you may hereafter suffer or sustain before, during, or after the event, unless said expense, loss, damage, personal injury, including loss of life, illness, disability, property damage or property theft or actions of any kind is caused by the sole, gross negligence of NCS. You must be age 21 or older to attend social events where alcohol is served unless a parent is present. This Liability Waiver & Release is specifically binding upon your heirs and assigns and is knowingly given.
Photography/Video
On occasion you may be photographed, video-taped, audio-taped, or have screenshots taken in connection with NCS events and activities. As a participant of the annual meeting, you agree that NCS is the sole owner of all rights in and to the resulting photographs, video footage and recordings, for all purposes related to NCS's business (both now and in the future). Your name and likeness may be used by NCS in advertising and promotional materials. Participants shall receive no compensation or royalties for appearance in any materials.
Technology Use
You may not upload or otherwise provide infringing, defamatory, obscene, pornographic, threatening, abusive, illegal or otherwise improper content. You may not upload viruses or harmful components to the event platform or NCS website. You may not use the NCS website or event platform to further any unlawful purpose or to violate the rights of any party.
You may not upload or otherwise provide content with a commercial purpose or attempt to solicit funds or advertise goods and services via the NCS website or event platform.
You may not utilize the NCS website or online event platform to engage in communications leading or related to an agreement in restraint of trade, to exchange specific information relating to your prices, profits, or costs, or in any other manner to limit competition or restrain trade in violation of state and federal antitrust laws.
Dress Code
The dress code at the annual meeting (both in-person and virtual) is business casual. Participants are required to adhere to this dress code during the event including, but not limited to, live video chat.
Data Privacy
As part of your registration to the annual meeting, NCS will share the data you provide with third-party vendors in order to process your registration, to make you aware of goods and services you may be interested in, to perform analytics on behalf of NCS, in connection with the annual meeting and for such other purposes as NCS may approve from time to time. Your registration may include technology that monitors your activities throughout the meeting, such as session attendance and virtual booths visited.
